About the Role

Key Responsibilities:
Project Documentation & Tracking:


Maintain comprehensive records of all project-related communications, documentation, expenditures, and milestones.
Organize all documentation to support the preparation and submission of quarterly performance and financial reports in compliance with IDPH guidelines.
Administrative Management:


Manage the project calendar and monitor key deadlines to ensure that all deliverables are tracked according to the approved work plan.
Oversee budget tracking to confirm that expenditures align with our approved budget.
Communication Management:


Serve as the primary internal point of contact for documenting and tracking correspondence with MHiM and any external partners.
Maintain a consistent communication log to support transparency and compliance with IDPH requirements.
Compliance & Reporting:


Ensure all administrative processes adhere to grant guidelines, and file all necessary documentation accurately and on time.
Assist in coordinating internal audits of project documentation and support any external review processes.

Requirements

  • Qualifications:

    • Proven experience in administrative management or project support, preferably within a grant-funded environment.

    • Exceptional organizational skills and attention to detail.

    • Proficiency in using digital tools and software for document management and communication (e.g., Microsoft Office, Google Workspace, and project management tools such as Trello or Slack).

    • Excellent written and verbal communication skills.

    • Ability to work independently and manage multiple administrative tasks concurrently.

    • Experience in public health, non-profit, or academic environments is a plus, though not required.

    Working Hours & Compensation:

    • This is a part-time role, requiring approximately 10–15 hours per week.

    • Compensation is set at an hourly rate of $31.95, subject to funding availability and organizational policies.

About the Company

Position Overview:
One Purpose Love has been awarded a grant from the Illinois Department of Public Health to implement the Youth Aware of Mental Health (YAM) program as part of our Teaching Coping and Problem-Solving Skills for Youth initiative. Given the complexities of hosting the training session and the staffing limitations noted by MHiM, we are focusing on the administrative and documentation aspects essential for successful project management. This role is exclusively administrative and is critical for tracking project progress, maintaining comprehensive records, and ensuring up-to-date communications with MHiM and external partners, in compliance with IDPH guidelines and our grant deliverables.
